1. Responsible organisation and contact
BNI Action Chapter T27 is responsible for personal data handled through this website. Send privacy enquiries and requests for access or correction to the email address on this page. This policy explains processing associated with website features; use of the site is not blanket consent to all purposes.
2. Information collected and required fields
Event registration collects name, salutation, telephone number and country code, email, company, industry, inviting member, member being substituted for, an observer’s home chapter and notes. A payment screenshot may be supplied optionally. Name and telephone number are needed to register; observers must also provide their home chapter. Missing required information prevents completion. Other fields follow the form labels; payment screenshots are optional. Member features involve accounts, password hashes, photos, company and business profiles, titles, websites, member codes, chapter roles and directory settings. The system also records registrations, payment status, check-in times, attendance and draw results when that feature is used.
3. Purposes and event communications
Information is used for registration and identity checks, meeting arrangements and check-in, payment reconciliation, membership administration, directory display, event statistics, enquiries and system security. Email and WhatsApp are used only for event confirmations and notices, not promotional marketing. Providing details is not consent to advertising; any future marketing purpose requires separate handling of the applicable notice and consent requirements.
4. Public directory and event display
Public member pages and printable directories display names, photos, member codes, companies, industries, chapter roles and business collaboration information according to active membership and directory settings. Public content can be viewed, printed or saved and may be indexed by search engines. Members may change directory settings or email the Chapter for assistance; website changes cannot recall copies already saved by others. Leadership and historical-role pages may also show names, roles and photos; contact the Chapter about corrections or removal. Names of participants and winners may be displayed at an event when on-site draws are enabled.
5. Recipients and overseas processing
Information may be processed by authorised chapter administrators and service providers assisting, as needed, with hosting, maintenance, email or WhatsApp delivery, or disclosed to authorities as required by law. Services used by the website may involve processing outside Hong Kong, including AWS hosting in Singapore and third-party communications services; actual locations depend on the services used. The Chapter does not sell your personal data.
6. Payment screenshots and security
Payment screenshots are used to reconcile payments and handle payment queries. Redact unrelated details before uploading. The system uses account authentication and access controls, but no network transmission or storage method can guarantee absolute security. Do not provide unnecessary sensitive information, passwords or verification codes in notes, images or email.
7. Retention and deletion
The Chapter applies retention periods according to purpose. Registration and check-in personal data are normally retained for 12 months after the event, then deleted or anonymised. Payment screenshots are normally deleted within 90 days after reconciliation and resolution of any related refund or dispute, unless they are necessary accounting vouchers subject to an applicable accounting retention period. Member data are retained during membership; within 12 months of departure, records are reviewed and information no longer needed is deleted or anonymised. Member information no longer suitable for public display is removed from public display promptly. Historical office-holder records with a separate, justified purpose require an individual assessment of scope and retention. Business income, expenditure and related accounting records subject to section 51C of the Inland Revenue Ordinance are retained for at least 7 years after the relevant transaction is completed; this does not mean all registration records, member data or payment screenshots must be retained for 7 years. Outstanding refunds, disputes or legal obligations may require longer retention of relevant records only, followed by disposal when that need ends. Disposal arrangements must also cover backups and copies held by service providers. This is the Chapter’s retention policy and does not imply immediate automated deletion by the system. Contact the Chapter about particular records.
8. Cookies, browser storage and external services
The site uses necessary session cookies for login and registration flows and browser sessionStorage for page-animation state. Pages may load external services such as Google Fonts, Google Maps or YouTube when a video is played. Providers may receive your IP address and browser information and use cookies or similar technology under their own policies. WhatsApp, social-platform and member-website links are governed by those platforms’ privacy policies. This policy does not promise that third-party services are free of tracking.
9. Access, correction and other requests
You may request access to and correction of personal data held by the Chapter under Hong Kong’s Personal Data (Privacy) Ordinance, and enquire about deletion or stopping public display. Contact the Chapter with your request; identity verification may be needed and requests will be handled under applicable law. Members may also sign in to update editable details. Deletion requests remain subject to applicable record-retention obligations.
